Overview: What Are Automated Chase Messages?

Automated chase messages are a powerful tool for property managers to streamline communication with tenants and store managers. These messages can be sent via email or push notifications to remind tenants to submit their sales data or to update them about key deadlines and actions.

By automating these reminders, property managers can ensure that tenants are kept informed without needing to manually follow up, saving time and improving data collection efficiency.

How to Create and Manage Automated Chase Messages

You can create a new automated chase message directly from the platform by selecting Automations in the navigation side bar.

On this page you will see a list of all of your scheduled sales collection notifications. You can see their status and type and click into them to edit, or create a duplicate.

Steps to Create a New Automated Message:

  1. From the overview page click “Create notification”

  2. Set the date range - this will schedule when the first one and last message will be sent in relation to the sales collection campaign

  3. Give your automation a name

  4. Choose the centre this will be for

  5. Select the campaign

  6. Select the period - this can be a single or choose the option for all if you would like to set this up for the entire campaign

  7. Choose if you would like the notification to be a push or email. If you choose email you can add placeholders to your message including a link to enter data that the user can click on and go straight through to the input page, avoiding the need to log in to the app to do this.

  8. Select from the additional options

    1. Do you want this to only go to user who have not yet entered the data?

    2. Do you want this to only go to tenants who are required to submit data per their lease agreement? This is a setting in the Edit Store page.

  9. Select when you would like the notifications to be sent.

  10. Press save.

For example, you could set an automated message to be sent 3 days before the sales submission deadline to remind tenants to log into the system and submit their sales data. Another message could be set to trigger 2 days after the period closes to thanks tenants who submitted their data and remind those that haven’t how important it is.

Managing and Editing Automated Chase Messages

Once you have created your chase messages, you have full control over managing and editing them as needed.

Steps to Manage and Edit Existing Messages

  1. Edit Existing Messages: If you need to update a message, you can open any existing automated message and make changes. This could include modifying the content, adjusting the trigger conditions, or changing the recipients.

  2. Clone Messages: To streamline your workflow, you can save and create another based on an existing message and adjust them for different campaigns or periods. For example, if you’ve created a chase message for one centre, you can duplicate that message and set it up for the next period with just a few modifications.

FAQs

Can I send both emails and push notifications with automated messages?
Yes, you can choose to send automated messages via email or push notifications, depending on your preferences and the available contact details for tenants. However, due to the difference in content they do need to created seperately.

Can I exclude certain tenants from receiving chase messages?

You can set conditions to exclude tenants who are not required to submit data, such as those whose lease terms do not mandate sales data reporting. You can also choose whether to send to users that have already entered data.

How do I know if a message has been sent?
Once a message has been activated, it will be automatically sent based on the conditions you’ve set. You can check the stores' activity feed in the Live Campaigns section.

Can I customize the timing of automated messages?

Yes, you can customize when the message will be sent, either before or after specific dates (e.g., "Send 5 days after the period opens").
